What happens from the first conversation through the first ninety days and beyond.

Our process has five stages: a property walkthrough with photo documentation, a written scope naming every task and standard, crew assignment and site onboarding, recurring service with photo logs, and ongoing review through a single point of contact.
Stage 1: Property walkthrough
We walk the site with you and document current conditions with photos. The goal is to understand what is failing, what generates the most complaints, and what has already been tried.
You receive that documentation whether or not you engage us. It establishes a condition baseline that is useful regardless of who ends up maintaining the property.
- Full site walk covering every landscaped zone
- Photo documentation of current conditions
- Irrigation system condition noted, including obvious failures
- Tree condition and any immediate safety concerns identified
- Priority zones agreed with you rather than assumed
Stage 2: Written scope and standards
You receive a scope that names every task, states its frequency, defines the areas it applies to, and states the condition standard the work must achieve. No general maintenance, no as needed, no assumed inclusions.
- Every task named individually with its frequency
- A written or mapped definition of included areas
- Condition standards per zone, not one blanket specification
- Response time commitment for issues reported between visits
- Documentation format and delivery frequency stated
- Extra work approval threshold agreed in advance
Stage 3: Crew assignment and onboarding
A specific crew is assigned to your property and briefed on it before the first service visit. Access requirements, restricted hours, priority zones, irrigation quirks, and known problem areas are all transferred in advance rather than discovered over the following months.
Stage 4: Recurring service with documentation
Service runs on a fixed day so your staff and tenants know when crews are on site. Every visit is recorded with arrival and completion photos.
A monthly summary covers work completed, issues identified, and recommendations, formatted so you can forward it to ownership or a board without rewriting it.
Realistic timelines
Properties changing providers usually carry accumulated deferred work, which is frequently why the change is happening. Setting expectations honestly matters more than promising a fast fix.
- First 2 to 4 visits: routine standards reach the agreed level
- First 30 days: catch up work on accumulated items begins, weekly contact
- Days 30 to 60: site knowledge builds, proactive issue identification starts
- Days 60 to 90: joint review against documented standards, program adjusted
- Ongoing: monthly reporting, seasonal program adjustments, annual condition review
Stage 5: Ongoing review
A single point of contact owns communication. We review performance against the documented standards on an agreed cadence rather than only when something has gone wrong, because problems caught during a scheduled review are far easier to correct than problems raised after months of drift.
